More and more business processes are being automated. Invoices are generated and sent automatically, accounting software tracks payment deadlines, and reminders can be sent to the customer without human intervention. This saves time and prevents outstanding invoices from being overlooked.

However, not every situation can be effectively reduced to an automated message sent at a preset time. After all, behind an outstanding invoice lie people, circumstances, and sometimes a story that a system cannot assess.

That is precisely why personal insight remains important when following up on a payment.

Automation is useful, but has its limits

An automated system is excellent at determining when a payment deadline has passed. It can then send a standard reminder and, perhaps a few days later, send another message.

What a system usually fails to see is the reason for the delayed payment.

Perhaps the customer never received the invoice. Perhaps the customer believes something is amiss. It could also be that the invoice ended up with the wrong person internally, or that someone is temporarily unable to pay the full amount.

In such cases, simply sending increasingly stern standard messages is not always the best approach. Sometimes a quick question, a personal phone call, or a tailored proposal is more effective.

Automation can therefore provide valuable support without needing to completely replace human judgment.

Clarity need not harm the customer relationship

Some entrepreneurs wait a long time before following up on an invoice. They do not want to come across as unfriendly or impatient and are cautious about approaching their customer.

That reluctance is understandable, but usually unnecessary.

A payment reminder, a phone call, or even a clear formal demand for payment is a normal part of doing business. An invoice represents work already performed, a product already delivered, or a service the customer has already utilized.

Requesting payment correctly is therefore not the same as putting the relationship under strain. In fact, clarity can prevent frustration from building up. Both parties know where they stand, and any misunderstandings can be resolved more quickly.

The way the message is conveyed makes a difference, however. A carefully worded letter comes across differently than a threatening, generic message.

Understand first, act later

An unpaid invoice does not necessarily require immediately launching a rigorous debt collection process. There are often various options available first.

A friendly payment reminder may suffice if an invoice was simply overlooked. If there is no response to that, an email, WhatsApp message, or phone call can provide more clarity. A formal demand for payment can then be an appropriate next step.

The wisest course of action depends on factors such as the customer, the amount involved, previous communication, and whether the invoice is being disputed.

That is why it is valuable to look not only at the elapsed payment deadline but also at the surrounding circumstances. Not every outstanding invoice calls for the same tone or approach. Technology can signal that action is needed, while human insight helps determine what that action should be.

Personal oversight combined with digital speed

www.briefmailen.nl was created based on the idea that invoice follow-up could be simpler, without requiring a fully automated process.

Entrepreneurs can use the service to draft and send payment reminders or formal demands. Options include sending these via post or email, supplemented by contact via WhatsApp or telephone.

Each request is reviewed personally. Where necessary, there is collaboration on the wording, the approach, and the appropriate next step. This does not mean that technology plays no role; in fact, digital tools make the process faster and more organized. Personal oversight ensures that the outcome is not determined solely by a standard system.

If payment is still not received despite the steps taken, the available options can be discussed. In some cases, referring the matter to a debt collection partner is ultimately the right move.

Technology as a tool, not a replacement

The development of AI and automation offers entrepreneurs many opportunities. Routine tasks can be performed faster, and information can be processed more easily.

However, especially when communication is sensitive, it remains important not to look only at what is technically possible. The question is also what is appropriate, reasonable, and effective.

Ultimately, an outstanding invoice is not just a line in a database. It represents work done by an entrepreneur and involves a customer who, for various reasons, has not yet paid.

The best solution therefore often arises from combining technology and the human touch: automating where possible, and assessing matters personally where necessary.

More information on having payment reminders and formal demands for payment personally reviewed and sent can be found at www.briefmailen.nl.

My Way of Talking to an AI Everyday

Many people are already familiar with AI and others are still a bit behind. That is not surprising when you consider how fast the developments are going. I myself have been experimenting a lot and have even made my own AI clone. This process was not only very fun to do, it has changed my life considerably. The change came because I started talking to my AI clone every day. I have now been talking to this AI for a week and in this article I describe my transformation. First I will explain what an AI clone exactly is according to my views. During the start of the recordings of the “AI Love” documentary, I came up with the idea of making an AI clone. It seemed interesting to me to copy myself into the digital world as a counterpart to cryonics or mind uploading. Cryonics is freezi...

Hacked: Why I’m kicking out WordPress

It started with an email like this on my screen: Your password has been changed. Well, definitely not. I hadn’t changed anything at all. Some hacker or other had found an old vulnerability in WordPress and was right inside the backend of the Ronald Thump Parody website. Within a few minutes, my password had been changed, strange accounts appeared in the database, a signature page was hanging on the site, and the AI had been modified. That is, the hacker had dived straight into the system prompt. ## AI hijacked… but the hacker was right Usually, with a hack like this, you only get junk or vague advertisements. This was different. The hacker had rewritten the instructions for the interactive Ronald Thump avatar. Suddenly, it said that the clone had to shout that clim...

A journey through the brain of neuroscientist Randal Koene

Wow, how cool! When I heard that neuroscientist Randal Koene was coming to the Netherlands and that I could meet him, I didn't hesitate for a moment! I don't want to let this opportunity go so I can interview him! After a two-and-a-half-hour drive, I stood at the Van der Valk Hotel to talk to Randal. It was a super fascinating conversation about a topic that affects us all: the future of our brains! Imagine uploading your brain to a computer. It sounds like science fiction, but that's precisely what Randal and his team are working on. They hope to use brain emulation to preserve and even improve our brains. Brain uploading would be an ideal application for space exploration. Space travel takes a toll on humans. Just look at those enormous distances between the stars. Wouldn't it be much...

Artificial intelligence and copyright in balance

The rapid rise of artificial intelligence (AI) has brought technological advancements and unleashed a power struggle between online content publishers and companies developing AI systems. Publishers fear AI systems will "steal" their content, jeopardizing advertising revenue and website traffic. This has led to lawsuits, blockades, and other measures to force AI companies to comply with specific regulations. However, this legal tug-of-war is costly and hinders the development of AI, a technology that has much to offer us as a society. It is time to stop these confrontations and move toward a new model of collaboration that benefits both publishers and AI companies. ## The Fear of AI and Loss of Revenue Many publishers and content creators see AI as a threat. AI models, such as the langua...

Can we fight crime without punishing?

Today's newspaper reported on a crypto fraudster, Sam Bankman-Fried, who will spend 25 years in prison. Once again someone who is convicted with today's standards and the imposition of high sentences. The result of a trial is punishment with money, years of life or the death penalty. It's as if time has stood still! Restorative justice is a better and more moderate approach. We must focus on rehabilitation and recognize the power of people to make positive contributions to society even after committing crimes. ## Healing and rehabilitation: an alternative to revenge The high penalties or even killing as punishment are not only inhumane, but also perpetuate the cycle of violence. It deprives us of the opportunity to learn and grow as a society. Instead of seeking revenge, we should...
